COIParser ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Email address
  • Authentication provider (email/password or Google)
  • Account creation and last login timestamps

2.2 Uploaded Files

When you upload PDF files for parsing, we store:

  • The uploaded PDF file
  • Parsed data extracted from the file
  • File metadata (filename, size, upload date)
  • File hash for duplicate detection

2.3 Billing Information

Payment processing is handled by Stripe. We do not store your credit card information. We store:

  • Stripe customer ID (used to link your account with Stripe)
  • Subscription status and billing cycle information
  • Pack credit balance and usage history
  • Invoice records from Stripe

2.4 Usage Information

We automatically collect certain information about your use of the Service:

  • Number of files uploaded and exported
  • Export format preferences (CSV, XLSX, PDF)
  • IP address and browser information (for security and rate limiting)
  • Error logs and system diagnostics

2.5 Analytics

We use Google Analytics to understand how users interact with our Service. This includes page views, navigation patterns, and feature usage. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

3. How We Use Your Information

We use the collected information for:

  • Service Delivery: To parse PDFs, generate exports, and provide core functionality
  • Account Management: To maintain your account, authenticate access, and send verification emails
  • Billing: To process payments, manage subscriptions, and track usage quotas
  • Security: To detect fraud, prevent abuse, and enforce rate limits
  • Communication: To send transactional emails (receipts, verification, service updates)
  • Improvement: To analyze usage patterns and improve the Service
  • Legal Compliance: To comply with applicable laws and regulations

4. Data Sharing and Disclosure

4.1 Third-Party Service Providers

We share data with the following third-party services:

  • Firebase (Google): Authentication, database, and file storage
  • Stripe: Payment processing and subscription management
  • SendGrid: Transactional email delivery
  • Vercel: Hosting and deployment infrastructure
  • Google Analytics: Usage analytics

These providers have access only to the information necessary to perform their functions and are contractually obligated to protect your data.

4.2 Legal Requirements

We may disclose your information if required by law, court order, or government request, or if we believe disclosure is necessary to:

  • Comply with legal obligations
  • Protect our rights, property, or safety
  • Prevent fraud or security threats
  • Enforce our Terms of Service

4.3 No Sale of Data

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

5. Data Security

We implement industry-standard security measures to protect your data:

  • Encryption in transit (HTTPS/TLS) and at rest
  • Firebase security rules for database and storage access control
  • Workspace-scoped data isolation (users can only access their own data)
  • Rate limiting to prevent abuse
  • Regular security updates and monitoring

However, no method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide services:

  • Uploaded Files: Retained until you delete them. Deleted files remain in trash for 7 days before permanent deletion.
  • Account Data: Retained until you delete your account.
  • Billing Records: Retained for 7 years for tax and accounting purposes (as required by law).
  • Logs and Analytics: Retained for up to 90 days.

7. Your Rights and Choices

7.1 Access and Update

You can access and update your account information through the account settings page.

7.2 Delete Files

You can delete individual files at any time through the dashboard. Deleted files are moved to trash and permanently deleted after 7 days.

7.3 Delete Account

You can permanently delete your account through the account settings page. This will delete:

  • Your user account and profile
  • All uploaded files and parsed data
  • Workspace data and settings
  • Usage history (except billing records required by law)

7.4 Opt-Out of Communications

You can unsubscribe from marketing emails using the link in the email. Note that we will still send transactional emails (receipts, verification) necessary for the Service.

8. Cookies and Tracking

We use the following types of cookies:

  • Essential Cookies: Required for authentication and core functionality
  • Analytics Cookies: Google Analytics to understand usage patterns

You can control cookies through your browser settings, but disabling essential cookies may prevent you from using the Service.

9. Children's Privacy

COIParser is not intended for children under 13 years of age. We do not knowingly collect personal information from children. If we discover we have collected information from a child under 13, we will delete it immediately.

10. International Data Transfers

Your data may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place for such transfers in accordance with applicable data protection laws.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or through the Service. Continued use after changes constitutes acceptance of the updated policy.
